Privacy and Data Protection Values

This statement provides a summary of how Swanbourne House School Trust Limited handles and uses data it collects to support the work of the Old Swanbournian Society and the wider School community.  We need to collect and use certain types of information about families who attend the School in order to carry out our work. This personal information is collected and dealt with appropriately whether is collected on paper, stored in a computer database, or recorded on other material.


The records we hold electronically and/or on paper are used by us to help us to organise events and offer services, to promote the School, and for fund-raising purposes.  Activities include the production of publications (such as The Chronicle, the Swan and the newsletters), surveys, appeals, and the marketing of events and dinners. Communications may be sent by post, telephone or by electronic means. Records commonly contain basic details of education, contact details, and career and other achievements. Interactions and connections with the School, and details of donations are also recorded. In some cases other data are added, including, but not limited to, information about partners, financial and other data you have disclosed to us or which we have derived from public records and publically-available sources of information, and information about your areas of interest and potential to support the School.

Security and controlled data-sharing with partners

All information is held and transmitted securely and (in addition to disclosure as permitted or required by law) may be disclosed on a considered and confidential basis to officers, Governors, employees and/or staff of Swanbourne House School Trust Limited and the Old Swanbournian Society, and to selected third parties who may provide services to us such as ‘mailing house’ services, telemarketing infrastructure, and prospect research. The Society also facilitates communication between former pupils, but we will not release personal contact details unless we have your permission to do so. We will not sell or share your information with any third parties for marketing purposes.


You are in control! If you have any queries, wish to restrict data processing or sharing, or do not want to be contacted by either the School or the Society at all, please inform us. If there are specific publications, communications, or activities from which you wish to opt-out, please let us know and your wishes will be recorded and respected. (Minimal information is always retained to make sure we do not contact you again inadvertently.) We keep our privacy and data protection policy under review, and any changes we make will be published on our website and made available in hardcopy on request.
